Process before automation
In tender workflows, decisive information is found across different documents, copied between tools and recomposed before a decision. Automating without an assessment risks accelerating fragmentation and error.
From evidence to roadmap
Documents, roles, information hand-offs and existing systems were treated as parts of one flow. ERP and CRM opportunities were prioritised by impact and dependency. AI was explored as support for classification, search and ranking while preserving traceability and human validation.
What was studied
The assessment examined tender workflows, document management, hand-offs between ERP and CRM, invoicing and the availability of data for analysis and control. For tender intelligence, it considered pipelines capable of ingesting text, extracting features and ranking opportunities, treating automation as decision support. The roadmap therefore connected organisation, data and architecture instead of presenting one product as a universal answer.
The Digital Assessment Voucher
The journey started in 2019 and is documented in the 2022 final report under Lazio Innova’s Digital Assessment Voucher. The incentive supported an analysis and consulting phase that made needs, alternatives and prerequisites explicit. Documentation and coordination of the measure turned operating issues into a verifiable evolution plan before resources were committed to implementation.
Project360’s contribution
Project360 provided cross-functional technology consulting, document production, support for the incentive measure and consulting coordination with suppliers. The roadmap connects operating objectives, information prerequisites and sustainable adoption.
Transferable value
The assessment makes alternatives comparable before investment and helps introduce automation and AI where they create concrete value while retaining control over processes and data.
The method is reusable whenever decisions depend on unstructured documents. Result quality does not depend only on the selected model: taxonomy, sources, update rules, exception handling and validation ownership all matter. Making these elements explicit allows solutions and suppliers to be compared against concrete requirements.
